Who's where, and when

APD caregiver scheduling and clock-in app

Waiversoft is where you book every caregiver visit and where caregivers clock in and out from their phone. Each punch records the time and location and is checked against the consumer's approved area, so the office knows which visits really happened.

How it works

From the schedule to a verified visit

Book the week, see it happen live, and keep a clean record of every visit for billing and review.

Booking shifts

Know the units before you save the shift

Pick the consumer, caregiver, service and time, and the shift shows how many units it uses and what's left that month and on the whole authorization. If the shifts would go over, or the caregiver is already booked, you're warned before you save, not when the claim comes back.
  • Weekly repeating shifts; change one visit or the whole series
  • Place of service is carried onto the claim (on the web)
  • Month, week, day and agenda views, filtered by consumer, caregiver, service or status

Clock-in from the phone

Caregivers clock in where the visit happens

Caregivers open their shift in the Waiversoft iPhone app or any phone browser and tap Clock in. The location is captured at clock-in and clock-out and compared with the approved area you set around the consumer's home. If they're outside it, they're told how far away they are and can still record the visit, and the office sees the distance. This is your agency's own visit record. For how EVV works for APD providers, read our guide to APD electronic visit verification.
  • A map shows the approved area and where the caregiver is
  • Turn location off for chosen services or caregivers
  • Caregivers can start an authorized visit that wasn't on the schedule

See who's working right now

The dashboard's live coverage timeline fills in as caregivers clock in. A visit with no clock-in ten minutes after its start turns red, so you can call the caregiver or find someone to cover before the family calls you. Alerts tell the office when a visit hasn't started, a clock-out was missed or a punch was away from the visit.
  • Visit not started: no clock-in 15 minutes after the start
  • Missed clock-out: still clocked in an hour after the end
  • Alerts by email, iPhone or both, with no client details in them

Hour limits

Daily hour limits, with a way to ask for more

Set how many hours a day a caregiver can work a service with a consumer. The caregiver sees how much of today's limit is used. When a visit needs to run long, they send an extra time request with a reason, and the office approves or denies it from the web or the iPhone.
  • Caregivers see when they'll reach today's limit
  • Caregivers hear back on the iPhone when extra time is answered
  • The office is alerted when a clock-in is refused by the limit
Daily limit

Your agency allows 8h a day of Personal Supports with this consumer.

Getting started

From a paper calendar to clocked visits

01

Set the approved area

On each consumer, set how far from the home a clock-in still counts as at the visit.

02

Book the week

Add shifts or weekly series. The units left show as you book, and double-bookings are flagged.

03

Invite your caregivers

They sign in on the iPhone app or a phone browser, see only their own shifts and clock in at the visit.

FAQ

Questions about scheduling and EVV

Is this the state's EVV system?

No. Waiversoft keeps your agency's own record of each visit: who clocked in, when, and how far from the consumer's approved area. Keep doing whatever APD requires of you for state EVV and service documentation.

What if a caregiver forgets to clock in or out?

The office is alerted when a visit hasn't started 15 minutes after its start, or a caregiver is still clocked in an hour after the end. An admin can complete the visit with the right times; it's marked office-entered, and every time correction is logged.

Do caregivers need an iPhone?

No. Caregivers can use the Waiversoft iPhone app or the caregiver app in any phone browser, including on Android phones. Nothing to install for the browser version.

Can a caregiver clock in away from the home?

Yes. The caregiver is told how far they are from the approved area and confirms, and the office sees the distance on that punch. You can also turn location off for chosen services or caregivers.

What does it cost?

Scheduling and clock-in are part of the one Waiversoft plan, $20 per consumer per month. Office staff and caregivers are free.
