Waiversoft

For Behavior Analysis and Behavior Assistant providers

Behavior analysts certified, visits billable

Waiversoft keeps what behavior services run on in one place: each person's behavior plan, assessment and plan-training records, your staff's CBA certificates and behavior trainings with their expirations, notes that walk Behavior Assistants through the plan's strategies, and claims that count quarter hours from real clock times.

How it works

Built around the behavior plan and the people who carry it out

Behavior services depend on credentialed staff, a current plan and data in every note. Waiversoft tracks all three while your team works.

Credentials and training

Know every analyst and assistant is qualified to bill

Mark the services each staff member provides and their file gets the matching slots: a CBA Certificate for Behavior Analysis, and for Behavior Assistants the 20-hour behavior curriculum plus the 8-hour annual in-service, which has a 12-month expiration. Expiring certificates turn amber 30 days ahead, and employee files can email the person for the new copy before it lapses.
  • Training slots follow the services a person provides, not a one-size list
  • Automatic renewal requests by email, with reminders until the copy is in
  • Optional: staff with expired or missing documents can't clock in

Plan-based documentation

The behavior plan file builds itself from the authorization

When a person's authorization has a Behavior Analysis or Behavior Assistant line, their record adds the behavior documents on its own: the Behavior Analysis Service Plan with its expiration, Behavior Plan Training Records, and the Behavior Assessment and LRC documentation for Behavior Analysis or the LRC Chair Review Eligibility Form for Behavior Assistant. For what each one has to contain, see our behavior services guide.
  • Services come from active authorization lines, so nothing has to be set twice
  • Res Hab behavior levels get the plan, plan-training and LRC eligibility slots too
  • Mark a document not applicable for one person and keep the reason

Notes that follow the plan

Behavior Assistant notes that record the strategy and the data

Behavior Assistant Services (H2019UCHM) has its own guided note. The caregiver taps which behavior plan strategies they used (reinforcement, redirection, teaching a replacement skill, a visual schedule, choice-making or a calm-down routine), then answers, for each plan goal, what was practiced, the data collected and whether there was progress. The AI writes the note from those answers in visit notes, and the office can edit it before approving.
  • The note covers what led up to each strategy and how it was carried out
  • Health and safety asks about any behavior that put anyone at risk
  • The office approves the note before the visit is billed

Units and billing

Quarter hours for sessions, one unit for an assessment

Behavior Analysis Levels 1 to 3 (H2019UCHP, H2019UCHO, H2019UCHN) and Behavior Assistant Services (H2019UCHM) bill by the quarter hour: each visit's clocked minutes divided by 15 and rounded, so 52 minutes is 3 units. A Behavioral Assessment (H2020UC) is billed per assessment, so the visit counts as one unit however long it ran. Billing turns the visits into an 837P claim file or a worksheet for keying claims by hand.
  • Units left this month and on the authorization, per service line
  • Visits with no clock-out or an unapproved note are held back, with the reason
  • Submitted and paid visits drop out of later claim files

FAQ

Questions about behavior services in Waiversoft

Does Waiversoft write the behavior plan?

No. Your behavior analyst writes the plan. Waiversoft keeps it on the person's record with its expiration date, along with the assessment and the records of staff trained on it.

Is there a note template for Behavior Analysis visits?

Behavior Assistant Services has its own ready-made template. Behavior Analysis visits use your agency's own template for that service if you set one up in Settings, otherwise your default template or Waiversoft's general one.

How are Behavioral Assessments billed?

H2020UC is billed per assessment, so each assessment visit counts as one unit. Behavior Analysis and Behavior Assistant sessions are billed in quarter hours from the clocked minutes.

We also run behavior-focused group homes. Is that covered?

Yes. Res Hab Behavior Focus, Intensive Behavior and Enhanced Intensive Behavior records get the behavior plan, plan-training records and LRC eligibility form, and their staff get the 20-hour behavior curriculum.

What does it cost?

Behavior services are part of the one Waiversoft plan, $20 per consumer per month. Office staff and caregivers are free.
