Waiversoft

For group homes and Res Hab providers

Run Residential Habilitation homes day to day

Waiversoft handles the daily work of a Residential Habilitation home: each resident's documents, your staff's trainings, guided daily notes, and claims that count day and month codes the way they're billed. You see what's missing or held back before it costs you.

How it works

Built around life in the home

Residents are there every day, so the work is daily too. Waiversoft keeps it in order while your staff do it.

Day and month codes

Billing that counts days, not hours

Res Hab is billed by the day or by the month, and Waiversoft counts it that way. A daily line bills each date once, however many visits that day has. A monthly line waits until the month ends, needs 24 or more days present, and is billed on the last day present. The rules behind it are in our Residential Habilitation guide; the claim file itself comes from Waiversoft billing.
  • A second visit on the same date shows as "Day already billed"
  • Days in a monthly line show as "In the month" until it's billed
  • Under 24 days, the month is held back with a reminder to ask the support coordinator for the daily code

Resident documents

The right documents for each resident

Pick your provider type once. When a resident has an active authorization line with a Res Hab code (H0043, T2023 or T2020), Waiversoft adds Res Hab to their services, and their consumer record asks for what Res Hab needs, like the implementation plan. Behavior Focus codes add the behavior plan documents too.
  • Implementation plan for every Res Hab resident
  • Behavior Analysis Service Plan, LRC Chair Review Eligibility Form and behavior plan training records for Behavior Focus
  • Monthly or quarterly summaries tracked with the rest of the file

Residential staff

Staff trainings that follow what they do

On each staff member's file, tick the services they work and the duties they have. Their caregiver file then asks for the matching trainings and tracks when each one expires, so a lapsed in-service or medication validation shows up before a review.
  • 8-hour annual in-service training for Res Hab staff
  • 20-hour behavior curriculum for Behavior Focus staff
  • Staff who give medication: Medication Administration Training, Annual Update and Medication Validation

Daily notes

A note template written for home life

The Res Hab note template asks about the things that happen in a home: which daily living supports staff gave, what the resident chose to do at home and in the community, their goals, how they responded, and health and safety. Staff answer one question per screen and the AI writes the note from their answers.
  • Supports like meal preparation, laundry, medication and money management, with the level of help
  • The choices the resident was offered, not just the activity
  • Health and safety covers medications, meals, mood and any incident

Units left in days

On a daily line, each date counts once toward the units left, so you see the days left this month and on the authorization.

Checks before billing

Visits with no note, an unapproved note or no clock-out are held back from the claim.

Repeat-note flags

Daily notes for the same person get flagged when they repeat earlier notes, are too short or name no goal.

Pay by the day or salary

Set staff pay hourly, per visit, per day or as a salary, with a different rate per service.

Incident reports

Log each incident in the home with its type, what happened and status, and download it as a PDF.

Expiring before it lapses

Resident and staff documents turn amber 30 days before they expire and red after.

837P or worksheet

Download the 837P claim file for the Florida Medicaid portal, or a worksheet to key claims by hand.

Needs attention

Your dashboard lists residents and staff missing required documents, with how many are left.

Getting started

Set up a home in an afternoon

01

Add residents and their authorizations

Type each authorization in, or give the PDF to Coworker. Res Hab lines turn on the right documents.

02

Tag your staff

Tick the services each staff member works and whether they give medication. Their trainings follow.

03

Notes daily, claims monthly

Staff write guided notes each shift. After the month ends, bill the days and months that are ready.

FAQ

Questions from Res Hab providers

Can we bill both daily and monthly Res Hab codes?

Yes. Each authorization line keeps its own unit. A daily line bills each date once. A monthly line bills after the month ends, on the last day present, when the resident was present 24 or more days.

What happens when a resident was present fewer than 24 days?

That month is held back from the claim and marked "Under 24 days", with a reminder to ask the support coordinator to authorize the daily code for the month.

Can several staff and residents share one shift?

Yes, if you turn on group shifts in your agency's preferences. Each staff member clocks in for themself and writes their own note for each resident, and each resident is billed on their own service.

Does Waiversoft keep a medication administration record?

No. Waiversoft doesn't have a MAR. It tracks the medication trainings for staff who give medication, and the Res Hab note asks about medications under health and safety.

What does it cost?

Waiversoft is one plan, $20 per consumer per month. Office staff and caregivers are free.
