Personal Supports visits, noted and billed

Waiversoft runs the day-to-day of Personal Supports: shifts booked against the units authorized, caregivers clocking in from their phone at the home, a guided note about the person after every visit, and claim lines counted from real clock times.

How it works

Built for the in-home, every-week rhythm

Personal Supports is the same people, the same homes and the same hours week after week. Waiversoft keeps that rhythm on track, from the schedule to the claim.

Scheduling

Book the week against the units authorized

Set up a consumer's regular hours once as a weekly series and change one visit or the whole series later. Before you save a shift, Waiversoft shows the units left after it, this month and on the whole authorization, so the schedule never quietly outruns the Personal Supports line. Our scheduling and EVV page has the full calendar.
  • Units left after the shift, before you save it
  • A warning before you double-book a caregiver
  • Assign each consumer's care team before any shift exists

Daily hour limits

A daily hour limit that holds, with room for real life

Choose a daily hour limit for Personal Supports, from half an hour to 16 hours. Once a caregiver reaches it with a consumer, they can't clock in again that day. If a visit has to run long, they ask for extra time from the caregiver app and you approve or deny it. Time past the limit isn't billed until you approve it.
  • A limit per service, so other services keep their own
  • An alert when a caregiver asks for extra time
  • Caregivers are told on their iPhone when you answer

Visit notes

A note about the person's day, not a chore list

Caregivers write the note after clocking in, guided by the ready-made Personal Supports template: where the visit happened, what they helped with and how much help was needed, what the person chose to do, the goals worked on, how the person responded, health and safety, and anything to do differently next time. See how notes are written and reviewed on our visit notes page.
  • Supports like meal preparation, laundry and shopping, each with its level of help
  • Flags notes that are too short, name no goal or repeat earlier notes
  • Approve each note, editing it first if needed

Billing

Quarter hours or a day rate, counted from the clock

Pick the dates and consumers and Waiversoft turns the visits into claim lines. Quarter-hour Personal Supports (S5130UC) counts the clocked minutes ÷ 15, rounded to the nearest unit; a day line (S5130UCSC) counts one day per date worked. Visits with no note, an unapproved note, no clock-out or time over the daily limit are held back and the preview says why. More on our billing page, and the service rules themselves are in our Personal Supports guide.
  • An 837P claim file, or a worksheet for keying claims by hand
  • Each held visit shows the reason it was left out
  • Submitted and paid visits drop out of future claim files

FAQ

Questions about Personal Supports in Waiversoft

Does Waiversoft handle both quarter-hour and day-rate Personal Supports?

Yes. Each authorization line bills by its own unit. Quarter-hour lines count clocked minutes ÷ 15, rounded to the nearest unit (8 minutes is one unit, 7 is none). Day lines count one day for each date worked, and a second visit on the same date isn't counted again.

What happens when a caregiver needs to stay past the daily limit?

They can't clock in again that day once they reach the limit, but they can ask for extra time from the caregiver app. You approve or deny it. Until you approve, the time over the limit is held out of billing.

What does the Personal Supports note ask?

Where the visit happened, what the caregiver helped with and how much help was needed, what the person chose to do, the goals worked on, how the person responded, health and safety, and anything to do differently next time. You can edit the template for your agency on the web.

Is Waiversoft our state EVV system?

No. Waiversoft keeps your agency's own visit record: caregivers clock in and out from their phone, with the location captured and compared with the consumer's approved visit area on every punch.

What does it cost?

Waiversoft is one plan, $20 per consumer per month. Office staff and caregivers are free.
