Software for large APD agencies across counties

At this size, a claim period is thousands of visits, consumers live in counties APD pays at different rates, and a compliance lead wants to know who opened what. Waiversoft handles that volume in one system, with the controls a larger office needs.

How it works

Built for volume, not just more of the same

A large agency doesn't need different software. It needs the same records, schedules and claims to hold up at ten times the volume, across counties and office staff.

County rates

The right regional rate on every line, in every county

APD pays some services at different rates in Palm Beach, Broward and Dade, in Monroe, and in every other county. When you add an authorization line from the rate table, you pick its region and ratio, and that rate is what bills. A consumer in Broward and one in Orange can share a claim file without anyone re-checking rates by hand. More on our billing page.
  • Region and ratio picked per authorization line
  • A warning when a line's billing unit differs from APD's rate table
  • Each consumer's own visit area, wherever they live

Oversight

See the whole agency without opening every record

One readiness score covers every consumer and employee file. Coworker answers agency-wide questions, such as visits missing notes, unverified visits, caregiver hours and authorizations running low, and routines run those checks on a schedule, like a compliance review every Monday morning. More on our Coworker page.

Answers for your compliance lead

Every view, download, upload, change and export is written to an audit log that can't be edited. Office logins can add two-factor sign-in, sessions end after 30 minutes idle, and each person can see and end their sessions. You sign Waiversoft's Business Associate Agreement in the app, and every company that handles your records is named on our security page with its signed BAA.
  • Admin and staff roles; payroll for admins only
  • Removing a teammate signs them out everywhere
  • Data encrypted and kept in U.S. data centers

Payroll

Payroll and margin across a large team

Each caregiver's pay comes from their approved visits and their rate for that service. The dashboard sets what you pay against what those same visits bill, by week, employee and service, so you can see which services earn their cost. On payday, export to your payroll provider or create a NACHA file for direct deposit. The full pay run is on our payroll page.

FAQ

Questions from large agencies

What does Waiversoft cost for a large agency?

$20 per consumer per month, with every feature. At 100 consumers that's $2,000 a month. You don't pay for office or caregiver logins, so a big team costs nothing extra.

How does Waiversoft handle APD's different rates by county?

Each authorization line carries its own rate. When you add a line from the iBudget rate table, you pick the region (Palm Beach, Broward and Dade; Monroe; or all other counties) and the ratio, and that rate bills. You can also type a negotiated rate.

Can we split consumers and staff by office location?

Not today. Each Waiversoft account is one agency, with every consumer and caregiver in the same place, filtered by consumer, caregiver, service and date rather than by office. If each location is its own enrolled provider, each is a separate account, and caregivers who work at two of them can use one login.

Can we see who opened or changed a record?

Yes. The audit log records every view, download, upload, change and export, with who did it and when, and it can't be edited.

What happens to visits that can't be billed yet?

They're held out of the claim file and listed with the reason, such as a note waiting for approval or a missing clock-out, so the office can fix them. Once a visit is submitted or paid it isn't included again, so nothing is billed twice.
