For APD solo providers

Software for APD solo providers who do it all

As a solo provider you are the caregiver, the office and the biller. Waiversoft keeps your own file and each consumer's file checked against Qlarant's solo provider checklist, lets you clock in and write the note from your phone, and turns your visits into claims you can file yourself.

How it works

One person, every role, one place

An agency spreads this work across an office and a team. You do it between visits, so Waiversoft keeps it short and tells you what's next.

Your checklists

Qlarant's solo provider checklist, not an agency's

Choose Solo as your provider type when you sign up, or later in Settings › Agency. Waiversoft then follows Qlarant's solo provider checklists: your own file is checked like any caregiver's (background screening, CPR, First Aid, trainings and in-service hours), and each consumer's file asks for the documents their services need. Adult Day Training and Prevocational aren't offered, since the solo checklist has no section for them. Whether solo or agency is right for you is covered in our solo provider vs. agency guide.
  • Amber 30 days before a document expires, red after
  • Your own trainings and the documents each service needs
  • Monthly or quarterly summaries, whichever you use

The office work

Hand the office work to Coworker

There's no office manager to ask, so ask Coworker, Waiversoft's AI assistant. Give it an authorization PDF and it sets up the consumer and the service lines; ask what's expiring this month, which notes still need writing, or to draft a quarterly summary or a letter to a support coordinator on your letterhead. It shows every change before it makes it. More on our Coworker page.
  • Authorizations from a PDF, for you to approve
  • Summaries, letters and forms on your letterhead
  • Nothing changes until you say OK

Billing

File your own claims without a billing service

Pick the dates and Waiversoft turns your documented visits into claim lines, counted in each service's own unit. Download the 837P file to upload to the Medicaid portal, or a worksheet to key the claims by hand. Visits with a missing note or clock-out are held back, with the reason shown. More on our billing page.
  • Your NPI and billing details checked before the file is made
  • Paid and submitted visits drop out of future files
  • Track claim numbers and paid dates
Fix these before the 837P can be built

The claim file includes every selected consumer or none, so nothing is left unbilled by accident.

Angela Morris
  • Missing primary diagnosis (ICD-10).
  • Gender must be M or F, as on the Medicaid file.
Carlos Mendoza
  • A visit on Oct 14 has authorization number “PA-2231” — Florida Medicaid PA numbers are 10 digits.

FAQ

Questions from solo providers

What does Waiversoft cost for a solo provider?

$20 per consumer per month, the same plan agencies use, with every feature. With 4 consumers that's $80 a month. There's no charge for your own caregiver login.

How do I clock in if I'm also the owner?

Add yourself as a caregiver in Waiversoft and invite yourself to the caregiver app with a second email address. Your owner login runs the office; the caregiver login clocks in and writes notes. A login email can only be one of the two today.

Is the solo checklist different from an agency's?

Qlarant uses a separate administrative checklist for solo providers. When you choose Solo, Waiversoft follows it: the same staff and consumer documents for the services you provide, without the Adult Day Training and Prevocational sections, which solo providers don't deliver.

Can I hire staff later without switching software?

Yes. Add caregivers and office staff whenever you're ready. You can also change your provider type to Agency in Settings › Agency. Caregivers and office staff don't add to the price.

Do I need a billing service to get paid?

No. Waiversoft makes the 837P claim file you upload to Florida's Medicaid portal, or a worksheet if you'd rather key claims by hand. You keep track of what's submitted and paid in the same place.
