For agencies with a few caregivers to a few dozen

Run a growing APD agency with a small office

Going from five caregivers to thirty multiplies the schedules, the expiring documents and the paychecks, usually before there's money for another office hire. Waiversoft gives the owner and one or two office staff the dashboard, the roles and the payroll to keep up.

How it works

What changes as the agency grows

At five caregivers, the owner remembers everything. At thirty, nobody can. These are the parts Waiversoft takes over.

Office team

Bring in office staff without handing over the keys

Invite office staff by email as staff, not admins. Staff can schedule, update records and correct visit notes, but can't change settings or billing or permanently delete anything; approving notes, pay rates and payroll stay with admins. Each teammate has their own login, so every change shows who made it.
  • Admin and staff roles
  • Pay history and payroll for admins only
  • Two-factor sign-in for office logins

Coverage

Know which visits are uncovered before a family calls

Open shifts show on the dashboard until someone is assigned, and Coworker suggests who can cover based on each caregiver's schedule. On the day, the live timeline fills in as caregivers clock in, with late visits in red, and you get an alert when a visit hasn't started 15 minutes after its start time. Our scheduling and EVV page has the full calendar.

Caregiver files

Thirty files kept current without a binder check

Each caregiver's required documents follow their job role and duties, such as medication trainings for staff who give medication. Turn on automatic renewal requests and caregivers are emailed for the new copy before a document expires. You can also stop a caregiver from clocking in while a required document is missing. More on our caregiver files page.
  • Every expiring document across the agency in one list
  • Caregivers upload the new copy from a secure link
  • Optional clock-in block for missing documents
Request documents

Email Denise Carter a single secure link to upload the selected documents. It expires in 14 days.

Payroll

Payday from the same approved visits you bill

Pay is figured from approved visits at each caregiver's rate, which can differ by service: hourly, per visit, per day or salary. On payday, preview the period and download a spreadsheet for your payroll service, or make a NACHA file for direct deposit that any bank accepts. The payroll dashboard shows payroll against billable revenue, so you see the margin by service. More on our payroll page.
  • Weekly, every two weeks, twice a month or monthly
  • Optional test deposits before a new account is paid
  • Caregivers see their own estimated pay

FAQ

Questions from growing agencies

How does the price change as we grow?

It goes up only with consumers: $20 per consumer per month. At 8 consumers that's $160 a month; at 40 it's $800. Office staff and caregivers are free, so hiring doesn't change the bill.

What can office staff do that admins can't, and the other way around?

Staff handle day-to-day work: records, scheduling and correcting visit notes. Only admins approve notes, change settings, billing and the subscription, permanently delete records, and see pay rates and payroll.

Can we pay caregivers by direct deposit?

Yes. Waiversoft makes a standard NACHA file from the pay period that you upload to your bank's ACH service. Bank account numbers are encrypted and shown only as the last four digits, and you can send a $0 test deposit to a new account before paying it.

Do we need separate software for multiple locations?

Waiversoft runs one agency per account, with all its consumers and caregivers together; it doesn't split them by office location today. If you run several locations, request a demo and tell us what you need.

How much work is it to move an agency over?

Most of the work is entering consumers, caregivers and authorizations. Coworker can set up consumers from their authorization PDFs and book shifts from a roster PDF, photo or spreadsheet, each for you to approve, which saves most of the typing.
